By accessing or using HGVDesk ("the Service"), operated by HGVDesk Ltd ("we", "us"), you agree to these Terms of Service. If you are entering into these terms on behalf of a company, you represent that you have authority to bind that company.
HGVDesk is a cloud-based fleet management platform for UK HGV operators, providing digital inspections, workshop job management, parts tracking, billing, and compliance reporting. We may update features at any time without notice.
All prices exclude VAT. Subscriptions are billed monthly via Stripe. Your subscription renews automatically unless cancelled. Vehicle limits are enforced — exceeding your plan's limit requires an upgrade.
New accounts may include a 14-day free trial. No payment is taken during the trial. If you do not subscribe at the end of the trial, your account will be deactivated. Data is retained for 30 days after deactivation.
You may cancel your subscription at any time via the platform or by emailing [email protected]. Cancellation takes effect at the end of the current billing period. No refunds are given for partial months. Upon cancellation, your data is retained for 30 days then permanently deleted (except where legal retention requirements apply).
You retain ownership of all data you enter into HGVDesk. We process your data solely to provide the Service, as detailed in our Privacy Policy. You grant us a licence to process, store, and transmit your data as necessary to operate the Service.
HGVDesk uses artificial intelligence (Anthropic Claude) to generate inspection summaries, defect descriptions, repair notes, and maintenance predictions. AI outputs are suggestions only — they do not replace professional judgement. You are responsible for reviewing and accepting or modifying any AI-generated content before it forms part of an official record.
We aim for 99.9% uptime but do not guarantee uninterrupted access. Planned maintenance will be notified in advance where possible. Support is provided via email at [email protected] during UK business hours.
To the maximum extent permitted by law: (a) the Service is provided "as is" without warranty; (b) we are not liable for any indirect, incidental, or consequential damages; (c) our total liability shall not exceed the fees paid by you in the 12 months preceding the claim. Nothing in these terms excludes liability for death, personal injury caused by negligence, or fraud.
You agree to indemnify HGVDesk Ltd against any claims arising from your use of the Service, your breach of these terms, or your violation of any law or regulation.
These terms are governed by the laws of England and Wales. Disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
We may update these terms. Material changes will be notified by email at least 30 days in advance. Continued use after the effective date constitutes acceptance of the updated terms.
